The Secretary is responsible for providing comprehensive, confidential secretarial support to the Head of Base Marketing, Head of Brand and Head of Big Data, in conjunction with administration responsibilities within an extremely busy Consumer function. 


As the Secretary, your key responsibilities and accountabilities will include:

Extensive diary management.

Arrangement of the occasional rail, air and hotel travel as and whenrequired

Managing constantly changing priorities and schedules, demonstrating the ability to think ahead, anticipate issues and respond at speed.

Prepare andsubmit expenses.

Prepare, arrange and coordinate internal and external meetingsand events.
Produce and maintain private and confidential documentation and records.

Organisation/Co-ordination of team’s All Hands, offsite meetings as and when required.

Co-ordination and processing of any POs (Purchase Orders)as and when required, using EVO/SAP

Be a focal point of contact for the teams,assisting in queries as and when required

Assisting the HRBP in ensuring EVO iskept up to date with team changes

Assisting the Heads of departments in the DR(Direct Report) meetings, by setting up the agenda’s, taking minutes etc.

Ensuring the QMS (Quality Management System) is kept up to date at all times

Covering other PA(s) when annual leave is being taken

Ordering of stationery for the team(s) as and when required.

Assisting with any IT issues that may arise

Ensuring New starters are setup on the DL (distribution lists), shared drives etc.
